Policies & Procedures
This document outlines the official policies, procedures, and standards of conduct at Roosevelt University ("the University"). All members of the University community—including students, faculty, staff, and administrators—are expected to read, understand, and comply with these policies. The University reserves the right to amend these policies as needed, with notice provided to the community.
01 Policy Overview
Roosevelt University is committed to maintaining a safe, equitable, and academically rigorous environment for all members of our community. These Policies & Procedures provide the framework for achieving this commitment.
These policies apply to all students enrolled in any program—on-campus, online, or hybrid—as well as all faculty and staff members. By enrolling at or accepting employment with Roosevelt University, individuals agree to abide by these policies.
Questions regarding these policies should be directed to the Office of the Provost or the Dean of Students, as appropriate.
02 Academic Policies
The University maintains the following academic standards and requirements:
- Course Load: Full-time students must enroll in a minimum of 12 credit hours per semester. Maximum course load is 18 credit hours without special permission.
- Academic Standing: Students must maintain a minimum cumulative GPA of 2.0 for undergraduate programs and 3.0 for graduate programs.
- Probation & Dismissal: Students falling below minimum GPA requirements will be placed on academic probation. Two consecutive semesters on probation may result in academic dismissal.
- Grade Appeals: Grade disputes must be initiated within 30 days of grade posting, following the formal Grade Appeal Procedure.
- Credit Transfer: Transfer credits are evaluated on a case-by-case basis. A maximum of 60 transfer credits may be applied toward an undergraduate degree.
03 Attendance & Participation
Regular attendance and active participation are essential to academic success at Roosevelt University.
- On-Campus Courses: Students may miss no more than 20% of class sessions. Excessive absences may result in course failure or administrative withdrawal.
- Online Courses: Students must log in and participate in discussion forums at least three times per week. Failure to participate for 14 consecutive days may result in automatic withdrawal.
- Excused Absences: Documented medical emergencies, family bereavement, religious observances, and university-sponsored activities qualify as excused absences.
- Make-up Work: Students with excused absences must coordinate with instructors to complete missed assignments within 7 days of return.
Attendance records are maintained by course instructors and reported to the Registrar's Office at midterm and end of term.
04 Grading & Assessment
Roosevelt University utilizes the following grading scale and assessment policies:
- Grade Scale: A (90-100%), B (80-89%), C (70-79%), D (60-69%), F (below 60%)
- Grade Point Values: A=4.0, A-=3.7, B+=3.3, B=3.0, B-=2.7, C+=2.3, C=2.0, D=1.0, F=0.0
- Incomplete Grades: 'I' grades may be granted for extenuating circumstances. Incomplete work must be completed within 30 days of grade posting, or the 'I' converts to 'F'.
- Assessment Methods: Student performance is evaluated through examinations, research papers, presentations, projects, and participation as detailed in each course syllabus.
- Grade Reports: Final grades are available through the student portal within 10 business days of term completion.
05 Student Code of Conduct
All students are expected to conduct themselves with integrity, respect, and professionalism. Prohibited conduct includes:
- Harassment & Discrimination: Any form of harassment based on race, color, religion, national origin, gender, sexual orientation, age, disability, or veteran status is strictly prohibited.
- Disruptive Behavior: Interference with teaching, research, administration, or other university activities is not permitted.
- Misuse of University Property: Theft, damage, or unauthorized use of university facilities, equipment, or resources is prohibited.
- Alcohol & Drugs: Possession or use of alcohol on campus (except at authorized events) and any illegal drugs is strictly forbidden.
- Violence & Threats: Physical violence, threats of violence, or possession of weapons on campus will result in immediate dismissal and potential legal action.
Violations of the Code of Conduct may result in disciplinary action ranging from written warnings to expulsion.
06 Academic Integrity
Roosevelt University maintains a zero-tolerance policy for academic dishonesty. Academic integrity violations include but are not limited to:
- Plagiarism: Submitting another person's work, ideas, or words as one's own without proper attribution
- Cheating: Using unauthorized materials, assistance, or devices during examinations or assignments
- Fabrication: Falsifying research data, citations, or academic records
- Collusion: Unauthorized collaboration on assignments meant to be completed individually
- Contract Cheating: Paying or requesting another person to complete academic work
Consequences: First violation results in course failure and academic probation. Second violation results in suspension or expulsion, with notation on the student's permanent record.
All suspected violations are investigated by the Academic Integrity Committee. Students may appeal decisions through the Academic Appeals process.
07 Leave of Absence
Students may request a Leave of Absence (LOA) for valid reasons including medical conditions, military service, or personal/family emergencies.
- Eligibility: Students in good academic standing (GPA ≥ 2.0) who have completed at least one semester
- Duration: LOA may be granted for one or two consecutive semesters (maximum 12 months)
- Request Timeline: LOA requests must be submitted at least 30 days before the intended leave start date
- Return from LOA: Students must notify the Registrar's Office at least 60 days before intended return date
- Failure to Return: Students who do not return after approved LOA will be administratively withdrawn
During LOA, students retain their academic standing but lose access to university services, including housing, library access, and student email.
08 Program Withdrawal
Students wishing to permanently withdraw from Roosevelt University must follow the official withdrawal procedure.
- Voluntary Withdrawal: Students may withdraw at any time by submitting a completed Withdrawal Form to the Registrar's Office.
- Refund Schedule:
- Week 1-2: 100% tuition refund
- Week 3-4: 50% tuition refund
- After week 4: No refund
- Administrative Withdrawal: The University may withdraw students for non-payment, extended absence without notification, or conduct violations.
- Readmission: Withdrawn students seeking readmission must reapply through the Office of Admissions and may be required to meet current program requirements.
09 Complaint Procedure
Roosevelt University is committed to resolving student complaints fairly and expeditiously.
- Informal Resolution: Students should first attempt to resolve complaints directly with the involved party (instructor, staff member, etc.).
- Formal Complaint: If informal resolution fails, students may file a formal written complaint with the Department Head within 30 days of the incident.
- Review Process: The Department Head has 15 business days to investigate and respond in writing.
- Appeal: Students dissatisfied with the Department Head's decision may appeal to the Dean of the College within 10 business days.
- Final Appeal: The Dean's decision may be appealed to the Provost, whose decision is final.
Complaints involving discrimination, harassment, or Title IX violations follow a separate process outlined in the Non-Discrimination Policy.
